3 Steps to Planning Your Emails

When clients come to me for help with email marketing, there are a couple common phrases I hear. “I haven’t emailed my list in forever” or “I have too much on my plate” or “I have no idea what I’m supposed to say in my emails”. And while I love writing my clients emails (cause yeah, I’m an #emailnerd), not everyone has the budget to hire a copywriter.

So, what do you do? You could continue not emailing your list or feeling overwhelmed by it. Or, you could batch write your emails and take the stress off your shoulders. 

Batching is the super ✨magical✨ act of writing all your emails for a month (or even a quarter) at one time. Then, you schedule everything out, and you can take it off your plate until the next month / quarter.

Awesome, right? Where a lot of people get stuck is they want to batch their content, but they can’t fathom thinking a month or a quarter ahead. So, their emails go unwritten until the night before. Yeah, that’s gotta stop. That’s what makes email marketing so hard.

Let’s talk about the three steps to planning your emails and actually batching ahead of time.

#1 Plan Your Big Goals

Whether you are mapping out a month or a quarter, you want to start with your goals. Think about what you want to achieve in your business. For example, you may have a certain revenue goal in mind, or you plan to launch a new service.

Take note of these plans. You should also note any holidays or sales you want to participate in. In Q4, for example, you’d need to think about Black Friday and Cyber Monday. In Q2, you might think about the transition into summer.

These seasons, sales, and holidays will affect your messaging and how you reach your goals.

#2 Create a Road Map for Your Emails

Now that you have your goals in mind, it’s time to map things out. For this portion, I recommend getting out a calendar or planner. Decide on how many nurture based emails you will send. Most people send email weekly (1 a week) or bi-weekly (2 a month), but it’s up to you! Mark these on your calendar. You can choose to send them on the same day or time each week or mix it up.

Then, start to plan any sales or promotional based emails. For example, if you are doing a Cyber Monday sale, you’d need to send out an email during the sale and possibly even a day or two before letting people know what’s coming.

#3 Get Specific on Your Emails

Lastly, you want to get specific. So far we’ve charted when we will send emails and how frequently, but now we need to determine what these emails will actually talk about. Here is where your goals for the month / quarter come into play.

When planning your emails, consider your ultimate objective. If you have certain revenue goals, then you’ll probably want emails that are promoting blogs (that inadvertently sell products) or promotional based emails for services and/or products

If your goal is to increase your open rate, you’ll need to do lots of nurturing. I’d make sure my emails ask my audience questions, link to blog posts, provide freebies, and lots of tips.
